Precision agriculture applied in avocado crops located in The Caral EstateThe use of sensors connected wirelessly to the cloud allows cost savings in avocado plantations located in Supe, Barranca (Peru). An Internet of Things (IoT)-based solution was deployed in avocado fields to develop precision agriculture. This system allows agricultural producers to obtain data to better control crop growth, prevent losses caused by adverse weather conditions or infectious pests, and thus facilitate the return on investment. The Avocado plantations are in the initial growth phase and will take 3 years to fully cultivate. During this time, Fundo Caral aims to remotely monitor the humidity, temperature, conductivity, and soil pH every 20 minutes.Obtaining this data will provide crucial information for decision-making in water resource management (water consumption) and fertilizer usage. This data is stored on a cloud platform and plays a pivotal role in ensuring efficient resource management.Technological solutionThe communications protocol used is called LoRaWAN, and allows the installed sensors to consume little energy, with a battery life of 5 to 10 years (depending on the interval of sending readings).Convergia’s solution also increased communication coverage in the open field, with 10 km between the devices and gateway. The gateway requires a backhaul communication to the internet via Ethernet, Wi-Fi, or in this case, by a mobile network (2G/3G/4G). For this project, Convergia’s CxC SIM was used as a mobile network, which provides data packages designed for IoT applications. The sensors were installed at different depths (20, 40 and 60 cm) to measure humidity, starting from a point close to the surface to below the root of the crops.Market PartnerThis project was carried out by our Market Partner, Zeit, a software development company with more than 7 years of experience in the market.About Zeit:Since 2015, ZEIT PERU has been committed to efficiently offering consulting services in Information Technology (Cloud computing, Artificial Intelligence, Data Analytics, Robotic Process Automation, IT Infrastructure), software development, marketing of Microsoft licenses and Outsourcing IT personnel.Zeit Peru continues this through innovative technology and qualified personnel with extensive experience in delivering services and solutions to clients from different industries. Evolve IP and Cisco Deepen Partnership to Deliver Evolve Anywhere with Webex KING OF PRUSSIA, Pa. — February 17, 2022 — Evolve IP®, a leading international service provider of Work Anywhere™ solutions, today announced that it has partnered with Webex, a leading provider of cloud-based collaboration solutions, to develop Evolve IP’s new unified communications solution, Evolve Anywhere with Webex. Powered by Cisco, the fully integrated UCaaS solution brings together enterprise-grade calling and cutting-edge features provided by Evolve IP Global Voice with Webex’s advanced messaging and meetings capabilities, all within a single app.   Evolve Anywhere with Webex was developed to help customers successfully manage the unique business requirements of today’s ‘new normal’. During the sudden shift to remote work in response to the pandemic, businesses quickly discovered that the meetings and collaboration solutions offered with traditional UCaaS solutions could not adequately support their remote teams. Companies, therefore, started looking for solutions that supported both at home collaboration and more traditional in-office communication needs in a single solution centered around the world-class solutions they already used – like Webex.     “The average business is using 3.5 different collaboration solutions and most expect users to continue to work away from the office the majority of the time,” said Christian Teeft, Chief Technology Officer and EVP of Global Engineering and Software Development at Evolve IP. “By embracing Webex as the center of the employee experience and providing superior voice quality, premium features, and world-class integrations, Evolve IP is able to meet users and businesses where they are. Making it easier for them to successfully adjust to a Work Anywhere future.”  Today’s announcement builds on Evolve IP’s and Webex’s already robust partnership.   “Building on our mutual vision to delight the mid-sized businesses, Cisco is thrilled to join with Evolve IP to deliver Evolve Anywhere with Webex,” said Tony Lopresti, Senior Director of Product Management at Webex. “With fully integrated Webex technology, Evolve IP’s users will experience a modern, all-in-one collaboration tool that delivers simple, flexible, communications, making their businesses more productive and more secure, with any device from anywhere.”   Evolve Anywhere with Webex enables enterprises to call, meet, and message in an always on workspace to facilitate continuous workflow—all in a simplified, automated, and compliant manner:  Calling – Evolve IP adds high fidelity voice and PBX features natively to the Cisco Webex application with coverage in over 50 countries and seamless support for a variety of traditional handsets and Cisco devices. Meetings – Energize meetings and get results with immersive HD video that integrates with users’ calendars and other devices at the touch of a button. Personalized layouts and immersive sharing, noise canceling abilities, rich AI-powered transcriptions and translations, and people insights, are just a few of the features users rely on to be more productive and effective in the workplace.  Messaging – Users easily connect and collaborate with people inside and outside of their company to stay on top of what matters, all in one place. Messaging, file sharing, and one-click calling online and offline is a breeze using searchable spaces that integrate with business apps to improve efficiency and workflows.   Collaboration – Integrate Webex with essential apps for simplified collaboration, such as Outlook to schedule, view, and join Webex Meetings from a users’ calendar. Embed Webex Calling and Meetings into the Microsoft Teams UI. Share and co-edit OneDrive or SharePoint files from within a Webex space.  By building upon their partnership and platforms, Evolve IP and Cisco continue to advance their shared vision of helping people achieve more delightful, immersive, and inclusive work experiences. Hybrid Workplace
Empowering the Hybrid Workforce is the Catalyst Behind Evolve IP’s Recent Brand EvolutionKING OF PRUSSIA, Pa. — March 7, 2022 — Having made a name for itself by partnering with the world’s biggest companies to bring together their unified communications, collaboration, voice, virtual desktop, and contact center tools into a single, secure solution, Evolve IP’s® success also embodies a distinctively human element in its approach to technology.Since its launch in 2007, Evolve IP has been committed to helping enterprise IT focus on user experience, not infrastructure; designing a new, better way for organizations to buy and deploy IT services. As Ciara McNeely, Vice President of Marketing for Evolve IP, explained, Evolve IP’s people-centricity has always existed, but it was the COVID-19 pandemic and the resulting move to remote work that brought the company’s central tenet to the forefront of their story: “For the past 30 years, IT strategies have been based around locations as the ‘unit of measure’ for most of the business investment,” McNeely said. “Fast forward to today, though, and hybrid work is here to stay and, in many cases, 100% of employees are remote at least part of the time. This shift has made the base unit of measure in any IT strategy the end user and it has completely changed the way businesses consider cloud services. So, we felt like it was time to focus our entire brand around making the future of work better for everyone and counting our success in terms of people served, not locations supported.”Making the future of work better for everyone is not only a company mantra, but also a deeply ingrained component of the company’s business strategy, further built on a 5-month-long rebranding effort in conjunction with Liquid Agency, a leading Silicon Valley brand consulting firm. One of the biggest takeaways from the rebranding work for Evolve IP’s CEO, Pete Stevenson, was viewing Evolve IP’s brand story through the lens of today’s ‘new normal’. “We rebranded because our approach to the market has to incorporate the rapid changes and adoption of remote work solutions that have become commonplace in today’s business world.” Stevenson said. “Our Work Anywhere solutions have become significantly more relevant and critical in hybrid work environments,” explained Stevenson. “We believe our brand promise isn’t just about technology and services, but also about how we care for our customers. It’s the combination of it all that represents who we are, how we go to market, and our team’s attitude towards solving complex communications problems for our clients. It’s that simple”In a world where the hybrid workplace is here to stay and a company’s ability to support remote teams could be the difference between retaining or losing valuable talent, Evolve IP is uniquely positioned to be an essential IT ally to its customers. The seamlessly integrated, easy-to-use productivity solutions deliver an unparalleled employee experience platform tailored to today’s hybrid workforce. As Christian Teeft explained, “The workplace is no longer a location, but a collection of people—people who need to work together whenever and from wherever they are. The technology they depend on needs to play well together and we make sure that it does.”To learn more about how Evolve IP is making the future of work better for everyone, contact Evolve IP today.

Virtual training is not just for your remote workers, however. Many organizations use this technology to also train employees right in their traditional office setting, allowing conference rooms to be freed up and employees to train at their own pace and on their own time. Accomplishing virtual training successfully takes some coordination. The first step is securing the right webcast technology to make distance learning effective for your corporation. We share the characteristics to look for when choosing a platform to keep your employees engaged and learning in virtual training. Engagement Comes from Interaction In any learning environment, true understanding comes when a student is engaged. In a virtual learning setting, this can happen when students have opportunities to ask questions throughout a presentation. Interactive opportunities lead to some of the best engagement, so choosing a webcasting platform with features like audience chat, Q&A, or polling, can help keep your class involved. GlobalMeet Webcast offers all these features and more, allowing your employees to train with success! Another great feature of any presentation is the ability to record sessions and create on-demand content for viewing later. This gives employees the option to catch up if they missed a session or simply if they want to review materials for better understanding and learning. Take a Question from the Class Want to determine if your students are really getting the gist of your presentation? An easy way to monitor engagement and learning is by relying on questions and chat functions within a virtual training session. Since you can’t see students face-to-face, these features, as well as online testing and certifications, allow you to truly gauge the engagement levels of all attendees. Using these measuring functions from GlobalMeet Webcast also allows you to create reports to analyze how each presentation is being absorbed and how to improve sessions along the way. Ensure Private Content Stays Safe With any virtual training, you want to make sure that your content, like company intellectual property, trade secrets, or any proprietary information in general is secure. GlobalMeet’s enterprise-level security offers login authentication, limited audience access, and password protection to keep your webcast for authorized users only. Virtual Training Options: Fully Managed or Self-Serve When you use GlobalMeet Webcast, you are provided with a team of experts to help you take your virtual training to the next level. Whether you opt for our fully managed webcast services, or a more do-it-yourself approach, the GlobalMeet Webcast team is here to help you manage your event. The advancements in virtual events technology and video conferencing can now take the tough task of gathering people in a conference room and making it easy to get people to attend a webcast. But what happens when your event has more than just a few attendees and you need high-capacity webcasting tools? Most big virtual events (like shareholder meetings, press conferences, or trade shows) require technology that can accommodate 50,000 or 70,000 people or more. Nowadays, with the popularity of hybrid events, planners need to also factor in the in-person crowd as well as those participating virtually. This can make setting up a high-capacity virtual event even more complicated. Don’t distress – today’s webcast technology can help you seamlessly tailor your events from five people up to 50,000 (or even more). This technology can also make accommodations for both virtual and in-person attendees and the content elements that both parties require (and expect). High-Quality Audio and Video Make Your Virtual Events Stand Out The first key piece to creating a highly engaging event is to acquire the best quality technology. For virtual and hybrid events, one of the worst issues an event planner faces is having bandwidth constraints or lag of any kind. High-quality audio and video will help make a great impression on your guests and allow users to sign in with ease, enjoying presentations instantly. When you need to provide pre-recorded content, or even livestream your event to a large crowd, GlobalMeet Webcast has the tools to accomplish this goal, even when your crowd is more than 70,000. Have some attendees who missed a session or need to go back and review materials? You can create on-demand content for them to watch at a later date, no matter the time zone. Protect Your Company IP with Enterprise-Level Security No matter what type of virtual and hybrid event you’re planning, security should always be a top priority. If you are reaching out the media, or shareholders, make sure your message gets where it needs to go and that only the right people are seeing it! GlobalMeet Webcast provides enterprise-level security, ensuring no hackers can get anywhere near your sensitive data. Elements like password protection help keep large-scale events secure. Make the Jump to High-Capacity Virtual Events If You Need Them Planning and executing a high-capacity virtual or hybrid event might seem daunting at first, but with the right platform, it can be easy. When you need to seamlessly connect with all of your attendees (whether they are in a conference hall or on their couch at home), GlobalMeet Webcast offers the fully managed, operator-led assistance you need. GlobalMeet Webcast delivers it all — from fully-branded landing pages to on-demand content after an event to the best technology to reach large-scale audiences. You can find suggested social copy below. The HR professional of today is busy enough without having to determine a new communication strategy to reach the new remote and hybrid workforce. Logistical challenges aside, the sheer number of remote employees anticipated by 2025 (36.2 million or roughly 22% of the American workforce) makes effective communication crucial. Knowing what to look for to create a seamless virtual communication process is the first step. We break down the key assets needed to connect with employees and potential hires from around the world. Make Virtual Interviews a Snap While in-person interviews are not totally replaceable, in today’s world, remote interviews can time and money, and HR professionals should take note. In the beginning stages of evaluating candidates for a position within your company, virtual is the way to go. Helping to establish the feeling of an in-person meeting is utilizing video interviews. Having a high-quality video can help HR professionals in a way a phone interview cannot, which is to be able to pick up on nonverbal cues. When in-person interviews these days are conducted with social distancing guidelines and masks, a video interview can let you see behind the mask, literally and figuratively! To get to know candidates and conduct job interviews with ease, GlobalMeet Collaboration has the technology to get you there. Whether it’s a one-on-one interview or one-to-many, screen sharing allows resumes and portfolios to be viewed and shared easily. Fast Track the Onboarding Process The next step in the hiring process is making sure your new hire gets onboarded quickly and seamlessly, especially in light of the labor shortage most of the country is facing today. Virtual onboarding erases the paperwork process and can help new hires feel connected to the rest of the group faster. Using the tools within GlobalMeet Collaboration simplifies the onboarding process, allowing up to 125 new team members to be onboarded at once. These onboarding sessions can also be recorded so those not in attendance (or anyone with a lingering question) can go back and review the on-demand video later. Virtual Training Made Easy Even when employees are not new to your organization, they still need ongoing training which can be taxing on resources. When these trainings are conducted in-person, they sometimes interrupt a whole day, putting a strain on productivity and leaving employees feeling antsy to return to work (meaning they aren’t paying as much attention to your training presentation). Remote training through GlobalMeet Webcast can give your employees flexibility. Our HR Communication toolkit includes all the resources an HR professional would need, like in-depth metrics analyzing the engagement and activity of your trainees. Unite Your Workforce An important piece of the HR communication puzzle is conducting town hall meetings, giving a chance for employees and C-suite leaders the chance to come together for important company news, future planning, and brainstorming. These ultra-important events can also be time-consuming to plan and execute. In-person town halls can also be costly to produce and pull attendees away from the office. Today, offering a virtual town hall meeting is an effective way to get your message across and connect workers from all levels within your organization. With the white-glove event planning services offered by GlobalMeet Webcast, your presenters will only have to show up (and have some engaging content to share!). Worries about bandwidth requirements, enterprise-level security, and high-quality audio and video will be taken care of, so you can worry about more important items. With GlobalMeet Webcast, planning your next virtual town hall meeting just got a whole lot easier! From online interviewing to onboarding new hires, holding trainings for a big number of people, or connecting employees through a town hall meeting, we’ll make sure your HR communication is effective. You can find suggested social copy below. If you’re looking for a cost-effective, eco-friendly, and ultimately effective way to keep all of your key stakeholders in the know, then a virtual town hall is the answer. When it comes to staying connected seamlessly, the right technology is the best place to start. We share tips to take your virtual town hall to the next level with the right webcasting platform. Keep Your Brand at the Forefront Don’t let your next virtual town hall feel generic – show off your brand’s uniqueness with every touch! The key is to create a professional atmosphere while also connecting attendees into one community. A customizable portal will allow this process to happen naturally. Plan for Several Speakers Especially in a virtual town hall, it’s important to allow many speakers to present. Did you know that up to 15 presenters can participate in your webcast from multiple locations across the globe? Secure internet access and just a bit of training (provided by us) beforehand are all that’s needed to get your speakers ready for a virtual town hall. Presenters can also offer their materials to attendees in a number of different ways, from audience polling to Q&A features to screen-sharing, there are numerous ways to share your knowledge and connect with the crowd. This is a great way for company leadership to present as one united unit, no matter where speakers are attending from! Keep Your Insights Secure Security is the top priority when it comes to a virtual town hall. These events usually include sharing proprietary company information, motivational insights, or even future projects and plans that might not be ready for anyone outside of the meeting to see (especially competitors!). With GlobalMeet webcast, our platform offers enterprise-level security with: Login authentication Password protection Limited audience access Get Ready to Engage & Listen! Part of the virtual town hall experience is creating an environment where audience members feel free to participate and really interact with the presentation. Setting aside time for questions to be answered directly by company leadership is always a good idea in these events. Any good town hall meeting provides an interactive environment for employees to ask questions and hear the answers direct from company leaders. This is also an important time to acknowledge employees and overall strengthen the community feel within your organization. At the end of the day, attendees should leave feeling like their concerns were heard and that management is listening. To pull off all these goals, you need the right webcast software. Delivering a feeling of connection, especially in a remote environment, takes certain features like audience chat, Q&A, and even polling. Offering an on-demand link so attendees and leadership alike have access to the entire presentation is another way to keep everyone on the same page. Today, it’s more important than ever that the relationship between employees and company leadership is maintained. Measure Success and Use Event Insights for Future Planning When your event is over, the valuable insights available through analytics and extensive reporting are a great way to start preparing for your next event. Gauging areas like employee engagement can help you improve your virtual town halls to come. Need Managed Services? We’re Here to Help! Any type of event planning and organizing can be a stressful ordeal (especially when technology and global audiences are concerned). To keep a presentation running smoothly and audiences engaged, having a team to support you can be key. There are two choices in service: operator-assisted, managed events or a self-serve platform with all the relevant training completed prior to the event. When it comes to best-in-class support and training, don’t think you’re alone! Reach out today to learn more about how our GlobalMeet platform can help your next virtual town hall succeed. You can find suggested social copy below. Meeting in the middle of live, in-person events and webcasts and virtual events is the hybrid event. Recently, this type of event has seen tremendous growth in popularity, helping businesses stay connected during a period where travel has been difficult. Hybrid events offer great ROI and can be used for several formats, from town halls, employee training to lead generation events. But just like any event, success must be measured and gauged along the way. With the right software, this process of capturing virtual events and webcast data can be easy. Data from an in-person event, however, is a bit trickier. And turning that data into actionable insights is a new challenge for businesses. Setting Goals is Step One While you might be ready to jump into data collection, the first step should really be setting goals. This process helps you later determine what you need to be measuring. If your hybrid event focuses on consumers or B2B audiences, here are a few areas you will want to measure: Conversions to sales Live attendance Revenue In-person attendance Lead generation If you plan on holding an internal event, then the top priority metrics should be around engagements and attendance. Virtual platforms make engagement metrics easy to obtain, with great options like Q&As, comment sections and audience polling. In-person participation can be harder to measure. There are manual ways to keep track (like counting who speaks up or asks a question during a presentation), but tactics like surveys tend to be a better way to gauge reactions after an event is complete. Weigh Live Metrics against Hybrid Ones When looking at both virtual and live components of an event, metrics like lead generation, sales, engagement, and revenue should be examined between each category. Lead generation can be measured by how many people gave a phone number for contacting later, or the number of people who opted into a mailing list. You can even track website visits to monitor this metric. A smart idea is to employ two different coupon codes; one given out to those who attended in-person and a different one to online audiences. This tactic can help you easily gather your sales figures. One of the great benefits of a hybrid event is the ease to which you can offer on-demand content. If you’re going this route, tracking who has re-watched your presentation is another way to garner engagement and event success overall. You can even track sales from the replay, a tremendous opportunity provided by virtual and hybrid event technology. Methods to Measurement While this might sound like a complicate4ed process, the right software, tools, and methods for measuring analytics can make all the difference. There is software that can automatically generate detailed reports based on both live and virtual audiences of your hybrid event. We are ready to help you with the solutions available through the GlobalMeet Webcast platform. You’ll find a fully hosted, turnkey solution for lead generation events, internal events, webcast, town hall meetings, and more. Reach out today! They typically have a webcast, just like any other virtual event would have, but might include in-person speakers or even in-person attendees. Whether an audience member is attending from the comfort of their own home or from a conference hall, businesses must make sure that all participants have an engaging experience with opportunities for feedback, follow up and presentation material. It is also important that businesses make a plan for how they will measure hybrid event success, from capturing information and data, determining the best ROI, and tracking results. Hybrid Events Perks Even though larger, in-person events are starting to reappear, hybrid events are attractive to businesses as they combine the best of physical and virtual events. There are many perks that come with hosting a hybrid event, especially if you embrace the excitement and buzz of in-person events and generate that in a virtual world. Here are a few of the benefits of hybrid events: Convenience The ability to offer webcast content on-demand after the event Reduced costs for event hosts who may be able to hold events in a smaller space Ways to track online attendance and capture leads Cost and time savings for attendees who don’t have to travel Hybrid Events can Extend to Bigger Audiences Unlike an in-person event, hybrid events allow for attendees, speakers and even sponsors that may not have been available to you in just the physical events space. With the elimination of geographic boundaries, hybrid events can reach much bigger and more widespread participants. With these global audiences comes more high-profile sponsors who are attracted to both the virtual and in-person audiences found in hybrid events. Remember Both Types of Audiences For truly engaging hybrid events, businesses need to think about both types of audiences present. From in-person attendees to virtual ones, make sure to plan interactions for all participants to really feel connected. Plan to address questions online as well as just live. Features like polls, Q&As and others can help remote attendees feel part of the experience. Make Sure to Measure Hybrid events are all about the ease of the platform used to host. The right platform can help gather data and track analytics easily, even when adding in metrics from in-person attendees. It can be more difficult to track conversions with these physical audiences since their response time is usually slower and completed much later after an event has ended. But it’s still important to measure both live and virtual components to truly understand an events’ ROI. So, are you ready to host your own hybrid event? Learn how we can help! If you have access to a smartphone, a trip to the beach can turn into streamed content within minutes. But this type of content wasn’t always readily available, so how did we get here today? And why do consumers love live content? We will answer those questions, as well as share how this live content can be leveraged by businesses to increase employee connectivity, and more. But to do that, we must head back to the dial-up modem days … if you can remember those! Podcasts: Humble Beginnings The beginnings of what we would now call a podcast didn’t look quite then. As the story goes, a band called “Severe Tire Damage” had some very smart friends at Xerox PARC in Silicon Valley or, more specifically, Palo Alto, California. In 1993, they used a small network they called called “multicast backbone,” or “mBone,” to share out the band’s concerts all around the world, basically creating live streaming in the process. The “Real” Live Streaming Story In 1995, RealPlayer, created by internet company RealNetworks (then for the home PCs) began broadcasting a Major League Baseball game. A few years later in 1997, the company tried to commercialize and monetize with RealVideo, but they didn’t exactly score. Going Mainstream … with Some Help When former president Bill Clinton, known to be a trendsetting politician, participated in the first widely attended webcast in 1999, there were tremendous results! Over 50,000 people logged in for the presentation “Third Way Politics in the Information Age,” produced by Excite@Home Network and the Democratic Leadership Council. Even for today, those numbers would be astounding for any business's webcast! But bigger is not always better. Even small attendance numbers can have big gains. For example, one webinar with just 232 attendees resulted in over $11K sales for a Udemy course. Connect with Employees Through Live Streaming & Webcasting Even though you might be thinking of lead generation and sales when it comes to webcasts, businesses can also utilize this technology to connect with employees. Think about creating a virtual town hall, or easier employee training with virtual presentations. Important messages can be delivered to whole teams and departments (even the entire company) with live streaming technology! Can you imagine what the developers in the early ‘90s would think of us now! We are using these tools in ways they could never even imagine! Taking a cue from live streaming’s history, it’s wise to think about the entertainment value that this technology can bring leading to increased engagement. Live music, like the concert streamed back in 1993, could be just the ticket for your next virtual town hall. Need help figuring out how to make the most of your next live stream? We have the right tools, like clear audio and professional-quality video, to get you there. Learn more today! After you've posted the blog on your website, promote it on social! You can find suggested social copy below. Recently, organizations have had to change up their idea of events and conferences, shifting everything from investor relations to industry conferences to online platforms and secure webcasts. This move means it’s time for organizations to reevaluate the way events like virtual earnings calls are promoted and executed. Even as in-person events and hybrid gatherings are starting to reappear, organizations should not overlook the many benefits of a virtual earnings call. From being able to share a message in new ways to on-demand call recordings available to all investors quickly and easily to more accessibility in general, virtual investor relations meetings are here to stay. The benefits sound amazing, but do you know how to pull off an investor relations event without a hitch? Let’s find out how to execute one securely, and successfully. Secure Webcasts Start with Secure Virtual Events Platforms Planning an investor meeting comes with a lot of proprietary information. When this information needs to be shared securely, investors need to feel comfortable with every part of a virtual event, from logging in to sharing and accessing documents. A platform like GlobalMeet is just the solution to provide a secure webcast anywhere. Offering operator-assisted capabilities to manage your virtual investor relations event, you have options to secure access for pre-registered individuals only. Another aspect of this secure platform is the ability to create gated access for those who need to view content after the event is over. Beyond recorded call options, you can have a written transcript created that can be searchable by keywords and more. Work in Advance for Smooth Event Execution Just like an in-person event needs to be engaging to audiences, a virtual earnings call also needs to be audience-minded. Utilizing options like audience polling, Q&A functions, or slide decks can be a good idea to get your message across in the best way possible. And make sure to have the best video and audio to accompany these pieces. Before a virtual event, it can be smart to gather company leadership together for a sound check of sorts. Going through all audio and video, assessing the lighting, camera positions, etc., help ensure a smoothly executed event. Even checking microphones and the sound quality is one step in the right direction to make sure everyone is ready to go. Have executives calling in from various locations? Check to make sure that each has the appropriate bandwidth to handle the call, and that they have a quiet space available, so no distractions get in the way. A backup plan (like a smartphone or a laptop) is recommended for the utmost preparation if any technical issues arise. If you are planning a Q&A session, make sure your team is prepared with sample questions or even real questions emailed from the participants ahead of time. If it’s feasible, this is a great option to settle nerves before an important virtual earnings call. Success is Measurable Almost as important as the event itself is what happens when the event ends. Gauging success helps you learn what worked and what didn’t, guiding the path for adjustments to make for next time. It’s important to discuss what metrics are going to be used to get a read on investor opinion and overall engagement. This can be accomplished through email surveys, or through the GlobalMeet Webcast platform which provides a wealth of reporting and analytics to help you measure the parts of your secure webcast that reached audiences the most. Planning a hybrid event comes with its own set of unique challenges, however. To ensure that all attendees stay engaged and have an educational experience, event organizers must make sure special opportunities for each audience. There are ways for both audiences to interact and connect despite geographical boundaries. No matter how your audience chooses to connect, make sure you have these best practices in mind to create a truly transformative event. Find Success with Proper Content Prep A successful webcast is only as good as the content provided (and the webcasting platform to get it there). Proper preparation means giving your team enough time to create inspiring and thought-provoking content that will stick with attendees. Utilizing multimedia features like Q&A, video, and audience polling are great ways to keep your event going. Plan Your Time Wisely Generally, a webcast should run between 30 and 45 minutes, but make sure to break your content up into shorter segments to keep audiences focused. Speakers should be told early on to create short presentations. Telling them in advance lets them have time to share their message succinctly. Another great idea is to schedule breaks in between each content segments to allow remote audiences the chance to get up and stretch, use the restroom, or connect with other attendees virtually. In-person attendees will also need those breaks built in. Hold a Practice Athletic teams wouldn’t play a game without first having a few practices. Take the same approach to your next virtual event. Create time in your schedule for a run-through of the entire event start to finish. This doesn’t have to take long, but make sure it is a thorough process that includes testing the room lighting and sound, and especially how all of the technology is working. This is a good time to check on bandwidth limitations and make sure they are addressed before attendees arrive or log in. Utilize the full-service operator-assisted events service from GlobalMeet Webcast to help ensure your event runs smoothly. Don’t Leave Remote Attendees Hanging When planning a hybrid event, it can be easy to focus only on the audience who will be attending in-person. But don’t forget about your online audience! Virtual audience engagement success can occur with the right tactics and technology. One tactic is to turn the camera on your remote audience and get their perspective. Try to think beyond the conference hall, getting both in-person and remote attendees to get up and dance (when appropriate) and then share these interactions, live or remote, with all audiences. At the end of the day, the important thing is to plan for some unexpected moments to keep remote attendees focus and interested in the event. All these tactics can be achieved with the right webcasting tool. Look for a platform that offers multiple features for audience engagement. Pursue Your Audience Just because an event is over doesn’t mean the powerful connections and emotions creating are put aside. Create momentum after an event through follow-up emails, using surveys and evaluations to generate feedback to use for your next event. You can find suggested social copy below. Even as in-person events have begun again, it’s clear that virtual and hybrid events are here to stay. Virtual events are in high demand, saving time and money for both hosts and attendees, as well as offering flexibility of on-demand content. But to host a successful virtual event, you must first have the right webcasting technology. When looking for a virtual events platform, make sure it provides: Ease-of-use on all devices The ability to record your webcast for on-demand viewing later Stellar audio-video quality Professional service and support in real-time If these pieces are in place, then make sure the next steps we outlined are part of your planning process: Content is Key A successful webcast starts with careful preparation, with time spent creating captivating content and lining up the best speakers for your intended audience. A great way to begin this process is by observing which content has performed well in the past, like blog posts, infographics, and white papers, and then create a message for your webcast using these themes. Success Starts with Promotion After your event speaker line up has been created and your agenda set, comes the all-important promotional piece. A few weeks prior to the event, it is a good idea to start an email campaign. After the initial email launch, plan two or three follow-up correspondences with potential audience members. Also plan to send reminder emails to those who have registered early. These emails can offer interesting and useful content, teasers, and details as the event draws closer. Make sure to highlight to attendees that they can log in from anywhere -- from a desktop or laptop computer or a mobile device. You want to make sure the event software is easy to use and mobile friendly, for both the presenters and attendees. Testing, Testing 1… 2… 3! Even the most careful event preparation can have holes. The best way to check for these is to hold a dry run of your event. This dress rehearsal should test everything from your technology to your lighting, down to the acoustics in the room. This is an important, and sometimes overlooked, step that can take your virtual event to the next level! With GlobalMeet Webcast, you will find a platform offering self-service options with live event assistance or fully managed services where professionals produce your event for you. Before your next webcast or virtual event, make sure to request a personalized demo of the GlobalMeet platform! Communicating virtually opens the doors for organizations to create corporate town halls, trade shows, shareholder meetings, time-sensitive training sessions and conferences. We want to make sure that whatever your goal may be, that your virtual event is professional and polished. From generating sales leads, converting leads to customers, or just staying connected with shareholders, we have the tools to make your webcast goals a reality. If you are operating with outdated teleconferencing software, these needs are probably going unmet. In today’s virtual environment, audiences expect the highest quality audio and video, as well as an issue-free and engaging experience. Are you ready to host a seamless virtual event? Then choosing the right technology is step one. But before you choose a dedicated tool for your online events, make sure you think about the following questions. Identify the Type of Virtual Event you are Hosting Choosing the right tools for your virtual event can only happen once you have thought through some other key details. The number of attendees you plan to reach, the overall purpose of your event as well as the content can all play a part in choosing the right webcasting platform. You might even need to go back to basics and truly understand the term “webcast” and what it means for your event. Simply defined, a webcast is an online event that streams audio, video, and often still images (such as slides) to audiences of any size anywhere in the globe. Serving many purposes, webcasts can bring audiences together virtually for: Companywide town halls Corporate communications and sales Marketing and public relations Onboarding and training Human resource and employee benefits communications Shareholder and investor meetings Disaster/crisis communications Know the Security Features You Must Have for Your Webcast No matter the kind of event you’re hosting, enterprise-grade security is a top priority to protect your organization’s network and any proprietary information potentially shared during the event. The information of your event attendees should also be a consideration, ensuring that their private data stays secure in the log in process. Here are some of the enterprise-grade security features required of webcasting tools: Gated audience access Login authentication Password protection Weigh Your Options Between a Fully Managed and Hosted Virtual Event There are three main service levels when it comes to webcast tools: self-service, self-service with live event assistance, and fully managed service. Not every event, even if the organizer is the same, will required the same level of service. For example, corporate trainings or department meetings will typically operate successfully without outside management, if the platform is easy to control and use. A hybrid service level is also an option, where solution providers offer training and are available to help as needed. This is a great option for several different types of events. When your event is large-scale, however, and needs to reach outside audiences (like sales leads or investors), an experienced production management team might be the right call to handle each element of your webcast. This type of fully managed and hosted services take care of all the behind-the-scenes technology and let you focus on the event content. This type of fully managed and hosted service can help put your mind at ease during a high-intensity webcast.
